Courtesy Cars

Overview

The Courtesy Car feature allows your shop to manage and track shop-owned loaner vehicles provided to customers.

⚙️ Note: This feature must be activated by Nexsyis Support before it can be used.


Permissions Required

Permission Type Description
Screen Permission: Courtesy Cars Required to Add, Change, or Delete Courtesy Cars on a Folder.
Transaction Permission: Courtesy Cars Activity Required to update Courtesy Car activity (e.g., mark unavailable, record maintenance).

About Courtesy Cars

A Courtesy Car is a loaner vehicle owned by the shop.

  • If a Courtesy Car has a Date Out but no Date In, it is considered in use and cannot be assigned to another Folder.


Courtesy Car Setup

  1. Go to Setup ▸ Company ▸ Courtesy Cars.

  2. Click New at the bottom of the screen.

  3. Enter the following information:

    • Name

    • VIN

    • License

    • Year, Make, and Model

    • Location (the shop location it belongs to)

  4. Click Save.


Assigning a Courtesy Car to a Folder

  1. Open the desired Folder.

  2. Select the Courtesy Car tab.

  3. Click New on the button bar.

  4. Choose a Courtesy Car from the list.

    Only Courtesy Cars that are not currently in use will appear in the list.

  5. Enter:

    • Date Out

    • Mileage Out

    • Fuel Out

  6. Click Save

 

Once assigned, the Courtesy Car is reserved for that Folder and will remain unavailable to others until a Date In is entered.


Viewing Courtesy Car Status & Updating Activity

  1. Open Operations ▸ Courtesy Cars.

  2. The list displays all Courtesy Cars.

    • The Folder # column indicates if a car is currently in use.

  3. Select a vehicle and click Activity to:

    • Mark the car as Currently Unavailable (removes it from selection).

    • Mark Has Snow Tires.

    • Record Activity Details such as maintenance dates or notes.


Viewing Courtesy Car History

To review Courtesy Car usage and activity, run the report:
Reporting ▸ Reports ▸ Operations ▸ Courtesy Cars
