Editing Parts Price Differences
Overview
Exceptions are a list of discrepancies which have occurred between the estimate (sale) and the final AP Invoice (cost). These are merely a notation of potential issues to resolve on the folder before it is deemed “closed,” they do nothing to affect the actual delivery of the vehicle. To remove an exception from the list, the underlying issue must be resolved. Alternatively, an employee with proper permissions can “Allow” an exception, indicating that the condition causing it is known and acceptable.
Viewing Exceptions
1. To access the Exceptions screen, click Exceptions under the Operations tab.
2. Select your location, resource, date criteria (the from date will default to the current month), and Folder and click the Refresh button.
3. All exceptions meeting that criteria will load.
Filter by Exception Type
To filter by Exception Type, click on the column heading labeled Exception Type.
To clear filters, click the blue Reset button in the top right corner of the Exceptions screen.
Available Columns
To add additional columns to the grid, right-click on the grid header and select Column Chooser. Double-click any of the columns to add them to the list.
To save the columns, right-click on the grid and select Save My Grid Layout.
Correcting Exceptions
To clear an exception, correct the underlying issue. Use the chart above for suggested solutions. Right-click on the grid to see a menu of available shortcuts to screens. These options will change based on the type of exception selected.
Editing AP List on Purchase Price Differences Exceptions
If the Estimate List is correct and the AP List is incorrect, it can be updated from the Exceptions screen.
Allowing Exceptions
1. Make sure that the Estimate List and AP List columns are showing.
2. Click inside the AP list column and type over the value to match it to the Estimate List value.
3. Click the Enter key and the exception will clear.
To remove an exception from the list, the underlying issue must be resolved. Alternatively, a person, with permission, can “Allow” an exception, indicating that the condition causing it is known and acceptable.
1. Select the Reason box in the row describing the reason to allow the exception.
2. Double-click inside the "Allowed" column.
3. If the "Hide Allowed Exceptions" box is checked at the top of the screen, the exception will clear. Uncheck this to view allowed exceptions as well as the reason and who allowed it.
