Absence Calendar / Absence Requests / Approve Absence
Overview
The Absence Calendar shows a calendar view of:
1) Employee Absence Requests (Unapproved requests show in yellow)
2) Holidays (show in purple)
3) Blockout Date(s) (show in black) (these are days a resource or location is not allowed take an absence can be blocked out)
This allows users to make informed decisions about requesting time-off.
There is no permission to access the calendar, but you do need supervisor/payroll clerk/absence permission to open an employee's absence request to see the detail or set a blockout date.
Request Absence Process
1. Open the Absence calendar from the Payroll tab
2. Navigate to the day(s) you would like to request off (you must be logged in using an Operator record tied to your employee ID)
3. Check that there are no holidays or blockout days for your location or resource team during that time. Click the Request Absence button
4. On the Request Absence screen, click the New button
5. Select the reason, date range, and enter the total # of hours. Click save.
Your absence request will show on the calendar in yellow. Once it is approved, it will show in white. A new Task will be created for your Supervisor to approve the absence.
Approving an Absence Request
1. When an employee submits an absence request, a new Task will be created for their supervisor.
On the Message Center screen, the supervisor will see a count next to the "Absence Needs Approved" Tasks group:
2, Double-click on the subject line to open the absence. Note: if viewing from the Absence calendar, you can double-click on the line in the Absence calendar as well to open the request.
3. Click "Approve Request".
The Task will be automatically cleared once the Absence is approved.
Note for payroll clerks: to see a list of all unapproved absence requests, open the Absences screen and select the "Needs Approved Only".
You can also "Subscribe to All" Absence Needs Approved tasks to see the "New Task(s)" indicator for all employee requests pending approval:
