Training Hours (Timeclock Method)

NEXconnex users now have the option of using the time clock, as opposed to the absence screen, to record training hours. In the timeclock method regular, overtime, and double time can be systematically calculated versus the manual calculation required by using the absence screen.

When using this method, regular hours, less training time, are paid at normal rate. Training hours will be paid and classified as described in the initial setup.Note: This new methodology is only for hourly and commission employees; salaried employees will still have to be recorded using the “absence” methodology.

 

Initial Setup of Training Code

Currently, NEXSYIS staff will do this initial screen setup. As a company, you will need to determine:

  1. Regular time, Overtime, and Double time classification:
    1. How they are displayed on paychecks
    2. Where they are posted to in financials
  2. In calculating training time pay, would you like to use commission rate, PTO rate, or regular rate?

Procedure

  1. All hours need to be recorded in the clock. Employee should be clocked in during all training time; this means that if an employee is training off site, a manager should manually enter timeclock punches for those hours.
  2. In addition to having employees punch in and out, a manager needs to enter training hours in the Training Hours screen (see below )
  3. For hourly and commissioned employees, regular hours will be paid at the normal rate and training hours will be paid and classified as described in the setup.

Entering Training Hours in PayHR

Open Training Hours from the Timeclock menu. Make sure the Period Ending drop-down box at the top says “Open Period(s).”

Click the Add New button to insert a new line. Type the first three letters of the employee’s last name and hit the Enter key to bring up the HR Master screen to select the employee. Select the date the training took place for the Trans Date and leave “Training” as the Reason.

Enter the number of training hours you want calculated as Regular Hours, Overtime Hours, and Double-time hours (it is helpful to pull up the timeclock punch activity screen for that day to see the hours the employee was clocked in). The total training hours for the day will display in the last white box. Click Update to add the line. Click Add New again to add a line for another day or employee. When you are finished adding training hours for the current period, click Save.

View prior pay periods by changing the Period Ending date at the top of the screen.
