Importing A/R Payments

Steps to process the file:

    1.  Typically, the files are emailed as an Excel spreadsheet, but are actually Tab-delimited files.  Save the file to your desktop by dragging the file attachment from your e-mail and dropping it on your desktop. Do not open the file.

    2.  Rename the ".xls" extension to ".txt". Change nothing else about the file name and do not open it.

    3.  Open Accounting> A/R Payments> Import Payments

    4.  Click the New button on the button bar:

 

    5. The Import screen is displayed.

    6.  Browse to the File, and select the Template.  

    7. You will need to key the following information create the payment (this can be found by expanding the first column or in the body text of the e-mail you were sent):

                       a. Date Payment was remitted

                       b. Payment Ref

                       c. Payment Amount

    8.  Click the Save button at the bottom of the screen

    9.  The Payment will be loaded and a search list displayed. Find the payment and select it for edit.

    10.  Upon loading the import file, an auto-match process is performed, using information from the import file to find the Folder and Estimate.  If a payment cannot be automatically matched, you can type search information in the boxes at the bottom to attempt to locate the folder.  Check the checkbox next to the search criteria you would like employed.  If you find a matching folder in the bottom list, select the appropriate records in each list and click the Apply Payment button.  You can unlink using the Un-Apply Payment button.  The Auto-Apply button will rerun the auto match procedure.

 

    11.  You can save at any time and retrieve the payment later for editing.  At each save, you will be prompted if you want to create the A/R Payment records.  If you choose Yes, the check record will be created and no further processing is possible.  All changes must be made using the Nexsyis payment screen.  If you create the payment and there are unmatched lines, they will go to Unapplied Payments.  These can be changed later using the A/R payment screen.

    12.  You can delete the import records at any time until the AR Payment has been created.
