Third Party Accounting - Accounts Payable Process

This document is for customers who are using a third-party accounting system outside of Nexsyis. 

In the AP Invoice screen, add the TPA Status column to your grid

Right-click over the header of the grid and select "Column Chooser" 

   

A Customization window will open. Double-click on "TPA Status" to add it to your grid. 

   

Right-click over the body of the grid and select "Save my Grid Layout"

   

 

TPA Status Overview

   - Not Sent: the invoice is open (unlocked). It has not been transmitted to your 3rd party accounting system and can be edited as needed

   - Closed: the invoice is closed (locked). It has been sent to your 3rd party accounting system and cannot be edited in Nexsyis

   - Retransmit: same as closed but has been retransmitted by a user to your 3rd party accounting system. 

 

A Not Sent, open invoice will show "Unlocked" when opening the invoice record to edit.

 

A Closed invoice will show "Locked" when opening the invoice record to view.

 

Retransmitting a Closed Invoice

To retransmit a Closed invoice, right-click over the invoice in the grid and select "Retransmit". This invoice will be included in the next batch to your third-party accounting platform. 

 

Invoice Corrections Process

Once the invoices are sent, they cannot be changed.  Here is how you will make corrections in the new system:

  1. Enter a credit with the original invoice number with a “-RV” added to the end.  This credit should match the original invoice entry exactly but in the reverse.
  2. Enter a new (corrected) invoice with the original invoice number with a “-ED” added to the end. 

 

These corrections will then be sent up in the evening batch along with “real” invoices/credits.
