Assignment Processing

This process is detailed in the flowchart shown in Figure 2-3.

You will receive a repair assignment via fax, email, or estimating system. Click F4 to open the Folder search screen to see if there is already an existing folder for this claim.

If there is not an existing folder then you will need to create a new folder (*see Creating a New Customer Folder) before you are able to process the assignment.

If there already is a Folder for this claim, complete the following steps:

 

  1. Import the Estimate (see Importing the Estimate)
  2. Record the insurance information on the claim (Claim #, DOL, Deductible, Adjuster, etc.) in the Claim Info section of the Customer tab in the Folder

3.  Indicate whether the repair is an Assignment from the customer’s insurance company or the customer is a claimant (the repair is being billed to the other party) by checking the corresponding box.

4.  Enterthe Deductible amount (Note: if the customer is a Claimant, there will be no deductible)

5.  Select the Insurance Adjuster and Agent for the claim by clicking the Adjusters and Agents buttons. A window will open displaying all of the listed Agents. Select yours from the list. If your agent is not listed, you will need to add him by clicking the New button at the bottom of the screen (see Add/Change Agents, Adjusters).

6.  Scan and link the Assignment document to the Folder, making sure to write the Folder number on the document before doing so.

7.  If the vehicle has been dropped off, ensure that you have proper authorization to begin the repair:

8.  Once the authorization forms have been signed and the boxes checked on the Folder Contact screen, you may send the vehicle to be repaired. If the vehicle is not at the shop, contact the customer to schedule an estimate, tow-in, or repairs if the estimate has already been written.
