Sales Tax on an Estimate
Although Nexsyis does not calculate sales tax (we rely on the estimating systems accordingly), we do attempt to display to the user potential tax issues.
When you open an estimate, if any lines are determined to be taxed (or not taxed) incorrectly based on yourSales Code Taxable/Not Taxable setup, Nexsyis will show the user a warning message, and the row in the tax column will be red.
On the Exceptions screen, there will be a "Sales Tax Conflict" exception for each incorrectly taxed line:
To correct, you should remove or add the tax in the estimating system and re-import the estimate. If the estimate is locked, this must be handled through the Sales Tax-Additional functionality (see below).
Nexsyis does not force you to correct. If you are unable to update the tax in the estimating system, you can simply allow the exception. If you do not correct, this will affect the Sales Tax Batch report in Nexsyis.
Sales Tax - Additional
CCC does not permit corrections to the Sales Tax Profile once an estimate is locked, which can result in incorrect sales tax charges.
To correct this, you must enter the difference as a separate line on the estimate in CCC. Using the Parts Code Table in CCC is recommended so that the description remains consistent and can be converted using the following estimate scrubbing rule:
If the estimate line description begins with the text "sales tax" and is classified as "Parts Other or Sublet", Nexsyis will automatically change the line to sales code "Sales Tax Additional".
Consequently, NEX will reclassify these line items as Sales Tax on the Nexsyis AR Invoice. For any lines that have the Sales Code "Sales Tax Additional", the line item is REMOVED from the AR Invoice and the total of the line is added to Sales Tax on the AR Invoice. This means that a print out of the estimate will have the same amounts listed as sales tax as Nexsyis.
Sales Tax Exempt Customer/Fleet
Marking a customer or fleet as "Exempt from Sales Tax" will apply to ALL folders assigned to that customer or Fleet.
Sales Tax Exception Showing Even Though Tax Verified in CCC
When you manually convert a line to a type of taxable part in Nexsyis, you may get a tax exception.
The part line in the work order will have a blank red box in the Tax Column. Example below:
This means that the EMS data indicated this line was not marked as taxed in CCC. Since it is a part and it should be taxed, you are getting the red warning indicator.
CCC is known to export these indicators incorrectly from time to time and it is a known bug they have had for over 20 years.
You will need to manually verify that the line is being taxed properly in CCC, then ignore this warning message in Nexsyis and mark any exception as allowed.
This will not create an issue in the sales tax report. Nexsyis does not recalculate sales tax on imported estimates, we only take the total tax amount that is imported from your estimating system.
So, if you have verified that the total tax is correct, there will not be an issue.
