Setting up Scheduling

Definitions:

  • Duration = Length of appointment in minutes, i.e. "30" minutes
  • Concurrent = Number of appointments that occur at once, i.e. "2" would put two appointment slots at 8AM, two at 8:30, etc.

 

Location Daily Limits

Set the maximum number per day for each appointment class by location.

For example, set the combined total of all Appointment Types with the "Drop" Appointment Class. "5" on Monday would limit a combination of all drop types to 5. Once this threshold is reached, the remaining slots per day for all "Drop" appointment types will disappear. If you do not want to limit, set each day to "100". 

 

Appointment Types

You can set up an unlimited # of appointment types

  • Code: Abbreviation code. Once set, this cannot be changed
  • Seq No: Sort order on Scheduling screen
  • Resource required: allows the appointment to be set up by resource, i.e. setting up John Smith's estimate calendar 
  • Appointment Class: Drop or Estimate 
  • Text Color & Back Color: colors the appointment Code column on the Schedule Book
  • Max per day per location: The max # of this appointment type allowed per day by location. Once this threshold is reached, the remaining slots per day for this appointment type will disappear. This is further restricted by the Max Drops per day set up on the location. 

 

Appointment Type Schedule

Set schedule for Non-Resource Appointment Types. You can set up as many blocks of time as desired.

  • Duration Minutes: Length of appointment in minutes
  • Concurrent: # of slots that occur at once 

 

Resource Schedule

Set schedule for Resource Required Appointment Types. Set as many blocks of time as desired

  • Max Per Day: The maximum number of appointments the resource can take per day of the week.  Once this threshold is reached, the remaining slots per day for this resource will disappear
  • Duration Minutes: Length of appointment in minutes
  • Concurrent: # of slots that occur at once
